Administrative Support Assistant (Office Automation)

The purpose of this position is to provide administrative support to three park units and two inventory and monitoring networks as a part of the Fairbanks administrative team. Duties will be developmental in nature when filled below the full performance level.As a GS-05 Administrative Support Assistant (OA), the incumbent performs the full range of duties but with close supervision and direction including:
Provide customer service in a friendly and professional manner as an office receptionist. Answer phones and greet office visitors. Prepare mail and receive packages and property. Order and stock supplies. Maintain central files. Prepare travel arrangements and authorizations. Input financial and procurement information into a program and reconcile that data. As a GS-06 Administrative Support Assistant (OA), under general supervision and direction, the incumbent performs a full range of duties including:
Provide customer service in a friendly and professional manner. Answer phones and greet office visitors. Prepare mail and receive packages and property. Order and stock supplies. Maintain central files. Prepare travel arrangements and authorizations Coordinate the Division budget and finance functions and prepares program documents and records expenditures, from purchase documents. Prepare and submit personnel action requests to the servicing human resources office. As a GS-07 Administrative Support Assistant (OA), the incumbent will independently:
Provide customer service in a friendly and professional manner Answer phones and greet office visitors. Prepare mail and receive packages and property. Order and stock supplies. Maintain central files. Prepare and or review travel. Prepare Purchase Request in the Financial system and process receiving documents Coordinate with Divisions on Property management and documentation Coordinate the Division budget and finance functions and prepares program documents and records expenditures, from purchase documents. Prepare monthly statements of commitments, obligations, and status of funds with recommendations to resolve and reconcile discrepancies. Coordinate with Division HR functions and requests to the servicing human resources office. This position performs duties that require the ability to type, and requires a typing proficiency of at least 40 words per minute (WPM) based on a 5 minute sample with 3 or fewer errors. EXPERIENCE for GS-05:
At least one full year of specialized experience comparable in scope and responsibility to the GS-04 grade level in the Federal service (obtained in either the public or private sectors). Specialized experience is experience that has equipped the applicant with the particular competencies/knowledge, skills, and abilities to successfully perform the duties of the position and is typically in or related to the work of the position to be filled. Specialized experience includes performing administrative support duties for payroll, personnel/human resources, budget, acquisition, property management and travel; preparing correspondence; using office procedures and equipment; organizing and analyzing numerical information; and meeting and dealing effectively with others. You must include hours per week worked. -OR- EDUCATION for GS-05:
Successful completion of four years of education (120 semester hours or 180 quarter hours) above the high school level obtained in an accredited business, secretarial, or technical school, junior college, college or university. NOTE:

EXPERIENCE for GS-06:
At least one full year of specialized experience comparable in scope and responsibility to the GS-05 grade level in the Federal service. Specialized experience is experience that has equipped the applicant with the particular competencies/knowledge, skills, and abilities to successfully perform the duties of the position and is typically in or related to the work of the position to be filled. Specialized experience includes assembling budget and financial data and ensuring accurate input of accounting records into an automated financial system; tracking and reconciling obligations, expenditures, and disbursements of funds; making travel arrangements and prepare travel vouchers; verifying time and leave balances through an automated timecard system; maintain electronic data management systems and preparing purchase requests using an electronic acquisition program. - OR - In addition to the Select Factor above, to qualify for this position at the GS-07 grade level, you must also possess the following minimum qualification by close of the announcement:
EXPERIENCE for GS-07:
At least one full year of specialized experience comparable in scope and responsibility to the GS-06 grade level in the Federal service. Specialized experience is experience that has equipped the applicant with the particular competencies/knowledge, skills, and abilities to successfully perform the duties of the position and is typically in or related to the work of the position to be filled. Specialized experience includes providing a wide variety of detailed, complex administrative support services to enable efficient operation of a business or program office; tracking and reconciling fiscal data for programmed accounts versus actual expenditures; preparing and following up on purchase orders and contracts; administering payroll and workers compensation; preparing human resource employment paperwork and orienting new employees. The check will bounce and the victim is left responsible.
