74 an hour 7 days ago 7 days ago 7 days ago Job Summary JOB SUMMARY To perform a wide variety of responsible and complex administrative duties for the Dispatch Manager; to coordinate and participate in office support functions in support of the Dispatch's goals and objectives; and to provide information and assistance to the public regarding departmental policies and procedures.
Essential Job Functions / Knowledge, Skills, and Abilities ESSENTIAL JOB FUNCTIONS Perform complex administrative duties in support of Dispatch Manager; recommend improvements in workflow, procedures, and use of equipment and forms.
Participate in the duties relating to the administration of a department; participate in preparing comprehensive reports, agendas and minutes of meetings; compile annual budget requests/documents.
Prepare and proofread a wide variety of reports, letters, memoranda, and statistical charts developed from rough draft or verbal instruction; independently compose correspondence related to assigned responsibilities.
Maintain records and develop reports concerning new or ongoing programs and program effectiveness; maintain records for service levels, permits, etc.

Maintain a calendar of activities, meetings and various events for Dispatch Manager; coordinate activities with other City divisions or departments, the public, and outside agencies.
Make travel arrangements for Dispatch Manager and Dispatch personnel; process purchases, per diem, etc.

Screen office and telephone callers; respond to complaints and requests for information on regulations, procedures, systems, and precedent relating to assigned responsibilities.
Manage purchasing requests from Dispatch Manager and Dispatch personnel while following all City of Fairbanks purchasing procedures.
Operate a variety of office equipment including copiers, facsimile machine, computer; use several computer programs including MS Word, Excel, and internal programs.
Provide information and forms to the public as needed; apply departmental policies and procedures in determining completeness of applications, forms, records and reports.
Assist in a variety of department operations; perform special projects and assignments as requested.
Receive, sort, and distribute incoming and outgoing correspondence.
Serve as Dispatch representative to various committees and commissions.
Perform related duties and responsibilities as required.
Maintain Dispatch content on City of Fairbanks website; post public safety and public relations information on Dispatch social media platforms (Facebook, Twitter, etc.
) During extreme emergency situations, perform in the capacity of Emergency Dispatcher by taking 911 calls and dispatching emergency personnel.
Write and edit current policies and procedures.
Process payroll.
Work closely with Human Resources processing new hires.
Process incoming recording and report requests.
Display an attitude of cooperation and work collaboratively with all levels of City staff and the public.

Candidates hired must satisfactorily demonstrate these factors during a prescribed probationary period for continued employment:
Knowledge of operations, services, and activities of the Dispatch Department.
Knowledge of modern office procedures, computer operations, and software applications.
Business letter writing and basic report preparation techniques.
Principles and practices of record keeping.
English usage, spelling, grammar, and punctuation.
Ability to interpret, explain, and enforce Department policies and procedures.
Ability to learn City of Fairbanks financial practices.
Perform responsible and difficult administrative work involving the use of independent judgement and personal initiative.
Understand the organization and operation of the City and of outside agencies as necessary to assume assigned responsibilities.
Keyboard speed necessary for successful job performance (minimum speed of 50 wpm) Work cooperatively with other departments, City officials, outside agencies, and members of the public Communicate clearly and concisely, both orally and in writing.
Minimum Qualifications MINIMUM REQUIREMENTS Persons applying for this position must have the following:
Graduation from an accredited high school or equivalent.
Three years of increasingly responsible administrative experience.
CPR Certification or ability to obtain CPR Certification.
Criminal Justice Information System (CJIS) Clearance (or ability to obtain such clearance) for access to the Alaska Public Safety Information Network (APSIN), the National Crime Information Center (NCIC), and National Law Enforcement Telecommunications System (NLETS) College level course work in business administration or a related field is desirable.
Work Environment and Physical Demands WORK ENVIRONMENT & PHYSICAL DEMANDS Maintain physical condition appropriate to perform assigned duties and responsibilities which may include the following:

Operating assigned equipment.
Maintain effective audio-visual discrimination and perception needed for making observations, communicating with others, reading, writing, operating assigned equipment, etc.
