Summary:
The Center for Alaska Native Health Research is seeking a part-time Outreach and Communication Coordinator to provide daily oversight and management of all outreach and administrative activities.
Duties will include facilitating participant recruitment, coordinating meetings, and addressing IT needs for the project.
This position will also assist with travel, purchasing, and other administrative activities for the project.
This position has the possibility to be expanded into a full-time position.
Duties:
20Data Collection and Document Management Under the direction of the project manager, PI, and Co-PI, supervise data collection and manage the database, including establishing data management protocols, conducting queries, and disseminating results.
Develop and maintain a user-friendly and secure document management system to permit project team members to craft, store, and disseminate reports, spreadsheets, and all other relevant documents.
Assist research project members with locating, storing, and managing document management system.
Develop, track, and maintain research permissions and documentation that can include Institutional Review Board approvals, DoD human subjects oversight permissions, and project compliance within the research base agreement, project milestones, and relevant research regulations, such as required staff certifications, as required by the project.
Essential 25Communication and Outreach Assists the Program Coordinator by providing updates to the website, posting announcements, and co-managing department calendars.
Assists with public relations efforts to increase public awareness about the program and recognition of its achievements through the website, special events/educational activities, newsletters, and future projects.
Assist in developing relevant programmatic products or materials to be used for pilot interventions, and coordinate the assimilation of relevant products or features for such programmatic/intervention implementation.
The incumbent will transcribe research findings and implications into evidence-based outreach publications and curricula towards the final stages of the project.
Copyedit, format, proof-read and other assistance as required by the first and second authors in the preparation of manuals, literature reviews, manuscripts, and other project documentation.
Essential 25Travel and Procurement Coordinates travel and accommodation arrangements using UAF's Travel Customer Service Office.
Prepares and submits travel authorizations, travel claims, expense reports, and reimbursement requests in coordination with TCSO.
Follows UA travel policies and procedures as well as the Federal Government policies and procedures.
Advise if further authorization, budget, or additional information is necessary.
Travel Consulting:
Serves as primary contact for travel.
Advise staff with any questions or concerns on travel policy, procedures, or paperwork submission and help work out complex problems as a team or independently as necessary.
Stay informed on changes to per diem rates and changing policies.
Communicate changes to travel policies and procedures.
Provide new employees with an overview of travel procedures before their initial trip.
Complete purchasing paperwork for the program's services, supplies, etc.
, using a Procard or purchase order.
Tracks invoices and payments, coordinates all purchases/expenditures for the program and assists with Procard reconciliation.
Essential 30Coordination and General Assistance Coordinate weekly and day-to-day functions among program and project team members as set by the project principal investigator and co-PI.
Schedule meeting rooms, maintain group calendars, produce agendas, take meeting notes, and communicate relevant deadlines as described in meetings.
Manage online project platforms, including APAN and ASANA.
The incumbent will also track, coordinate, and facilitate research activities, communications activities, and report development and dissemination within the overall project.
Provide other general programs administrative assistance as neededEssential Knowledge, Skills, Abilities:
Knowledge of research methods and analytical procedures.
In-depth understanding of human subjects research including expertise in managing IRB packages.
Skilled in accurate data collection methods.
Ability to use computerized tools to organize and analyze information and communicate findings.
Knowledge of publishing requirements.
Knowledge of statistical methods.
Knowledge of fiscal restrictions associated with research monies.
Analytical skills.
Ability to communicate findings for internal- and external- reporting.
Advanced knowledge of research methods and analytical procedures.
Ability to work independently and collaboratively with others.
Typical
Experience:
Three to five years of administrative experience.
Evidence of providing admin support, managing meetings and calendars.
Experience working with diverse populations.
Required Education or Training:
Bachelor's degree and one year of experience in a field relevant to the research (e.
g.
science, math, business), or an equivalent combination of training and experience.
Experience working with managing files and tracking tasks.
Salary Information:
This is a part-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package.
New hires will be placed on the UA staff salary schedule, Grade 78, based on education and experience.
