Summary:
Come join the team! This position of administrative assistant has the unique role of serving as the first point of contact for the office of the dean for the College of Rural and Community Development.
Duties:
25Academic Program Support:
Provide program support, working closely with Academic Program chairs and the Director by providing support with current information, management and submission of overall course approval processes; coordination and creation of course schedules; textbook adoptions; identification of classroom and/or other technology needs for faculty; assist as needed with necessary academic reports such as, but not limited to SLOA, AUP, and others as requested.
Maintain electronic files of current and past reports.
Schedule, maintain and update the program calendar meetings.
Responsible for coordination/assistance with development and implementation of annual seminars for BA and MA programs for fall and spring semesters.
Essential 25CRCD Dean's Office Support/Reception:
This position will report to the Director of Operations.
The administrative assistant is the first and often the last point of contact for persons visiting the College of Rural and Community Development dean's office, including the Alaska Native Language Center.
Creating an impression of welcome, professionalism, and efficiency is essential.
A successful candidate will be able to command the space and greet all customers that walk in.
The administrative assistant is responsible for, and must act on their own initiative, to an unpredictable range of daily activities involving faculty, staff, students, and the public.
They will use discretion, analytical and problem-solving skills, and resourcefulness to reach solutions to problems; direct calls and inquiries as appropriate, initiate correspondence, take appropriate action and follow through; and monitor traffic flow through the suite.
Administrative assistant will manage the affairs of a busy academic office; maintain adequate supply of office materials and supplies; be responsible for inventory of equipment for checkout from the dean's office; maintain conference room schedule and equipment checkout; maintain general office equipment such as copiers, fax machines, and hand tools; monitor and maintain inventory of office supplies and purchase supplies, as needed; manage storage room; sort and distribute mail.
Administrative assistant will be responsible for tracking departmental email to ensure a timely response; following up on delegated tasks; proofreading; and drafting memos and thank you notes.
At times, the assistant may be asked to support meetings through meeting notes, capturing action items, and/or writing meeting summaries.
This position will assist in the coordination of workplace social events such as celebrations, going away parties, etc.
Other duties as assigned.
Essential 50ANLC Bookstore Coordination:
The administrative assistant will be responsible for ensuring that ANLC book orders are processed accurately and efficiently, ensuring inventory is tracked appropriately, and working with and supervising the fulfillment of orders with student employees.
Receiving work may include:
Receiving invoices for shipments and verifying that the contents are accurate; matching invoices with the appropriate purchase order and accurately receiving merchandise; maintaining precise records and proper filing system; processing and shipping any back-ordered books; notifying publishing editor of damage shipments.
Sales duties may include:
Picking textbooks and materials accurately from a shelf pick list; conducting sales and custom orders for rural campus faculty, staff, and students; assisting in packaging and mailing textbooks to rural students; providing shipping within one (1) business day; monitoring and maintaining supply inventory levels, and keeping accurate records of both inventory and book sales; coordinating with other staff members for supply needs; shelving textbooks / materials; taking responsibility for physical inventory count of all bookstore merchandise.
Further duties will include maintaining the ANLC bookstore website, making sure it is consistently up to date, accurately reflects our available stock, and is appealing and user-friendly to customers.

Essential We need a team member with a pleasant personality and a dynamic professional attitude to help us keep our front desk, Alaska Native Language Center, and bookstore at a standard of excellence.
The ability to multitask, problem-solve, work with multiple constituents, and work in a team-based environment are essential skills of the position.
Ultimately, applicant should be able to ensure our front desk provides professional and prompt service to our students, faculty, staff, customers, and community.
Knowledge, Skills, Abilities:
Knowledge of advanced computer programs and operations.
Knowledge of modern office procedures; skill in typing accurately in form, spelling and grammar; must be self- motivated, resourceful and have the ability to work with minimal supervision; prioritize workload; ability to work well in a fast paced office.
Organization, record-keeping, multi-tasking, purchasing and reconciling procedures, knowledge of TouchNet or similar transaction software.
Ability to analyze situations and solve problems independently.
Must have strong customer service/interpersonal skills.
Preferred Experience & Education:
Two year's progressively responsible office/administrative experience or an equivalent combination of training and experience.
Required Experience & Education:
High school diploma or equivalent is required.
Work background should include performing receptionist, secretarial and clerical duties.
Experience with various software packages including databases.
Salary Information:
This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package.
New hires will be placed on the UA staff salary schedule, Grade 76, based on education and experience.
